Team Administrator Savills Pty Ltd Melbourne VIC Full-time, Onsite Competitive Annual Salary Package

This position is integral to Savills’ high-performing Commercial Sales team based in Melbourne CBD. You will be situated within a collaborative and dynamic environment where daily activities vary. This role is essential for maintaining team connectivity, organisation, and optimal functioning, serving as the primary support that allows agents to concentrate on achieving excellent client outcomes.

Working closely with a varied group of sales professionals, you will play a significant role in campaign coordination, managing information dissemination, and ensuring team members have the necessary resources for success. Your capacity to foster strong relationships, anticipate team requirements, and manage multiple ongoing tasks will directly contribute to the team's overall achievements and the delivery of superior client experiences.

Key Responsibilities:

  • Provide timely, high-level administrative support to the Commercial Sales team.
  • Enter and maintain accurate property data and details within the CRM.
  • Create and update online property listings on the company website and external platforms.
  • Prepare, format, and compile marketing materials using InDesign and Canva.
  • Coordinate with third-party suppliers, including trades, photographers, and stylists, for properties and projects.
  • Respond to client inquiries on behalf of division executives, escalating as appropriate.
  • Gather and compile information to assist in the preparation of reports and campaign updates.
  • Coordinate and liaise with internal and external stakeholders regarding sale deposits, deposit releases, and settlement confirmations.
  • Manage, track, and report on the division's Fee Forecast and Commission.
  • Reconcile marketing budgets.
  • Process expense claims for each team member.
  • Plan, coordinate, and manage client events for the commercial team.
  • Undertake EA responsibilities for the State Director when required.
  • Prepare and issue tax invoices and purchase orders, managing accounts payable, client billing, and debtors.
  • Perform other ad hoc tasks, including file management, document control, and travel bookings.

What You’ll Bring:

  • Previous experience in an Administration or Team Support role.
  • Experience with invoicing and managing accounts payable.
  • Real Estate experience is preferable but not essential.
  • Advanced Microsoft Office skills.
  • Experience using Canva and/or InDesign is highly regarded.
  • Excellent time management and organisational skills.
  • Exceptional attention to detail.
  • Excellent written and verbal communication skills.
  • The ability to work well under pressure and prioritise based on workload.
  • A strong team player mindset, capable of building relationships and quickly establishing trust and credibility.
