proteqt is seeking a Technical Administration Coordinator to join their established Building Surveying and Compliance consultancy. The organisation provides services across commercial buildings, aged care facilities, schools, airports, and major developments throughout Western Australia. Reporting Structure and Role Focus Reporting to the Operations Manager, this role involves close collaboration with experienced Building Surveyors. The Technical Administration Coordinator will manage technical administration from initial enquiry through to project completion, ensuring high-quality service delivery to clients and stakeholders.
Key Responsibilities:
- Preparation of fee proposals, quotations, and client documentation for a varied portfolio including commercial, aged care, education, aviation, and major development projects.
- Coordination of certification projects from enquiry to completion, ensuring project milestones, deadlines, and approvals are met.
- Support for Building Surveyors in project administration and workflow coordination.
- Liaison with clients, consultants, and local authorities, providing exceptional service throughout the project lifecycle.
- Maintenance of project registers, certification records, and Quality Management System (QMS) documentation.
- Assistance with tender submissions, capability statements, and business development support.
- Coordination of invoicing, project reporting, and general administrative tasks.
- Support for the administration team and contribution to continuous improvement initiatives.
- Identification of opportunities to enhance systems, processes, and workflow efficiency.
Qualifications and Experience:
- A minimum of 3 years' experience in a technical or project administration coordination role.
- Compliance or certification experience within Building Certification, Building Surveying, Construction, Engineering, Architecture, Property Development, local government, or another technical/professional services environment is highly regarded.
- A Diploma or Certificate IV in Business Administration, Business or Project Management, or a Certificate IV or Diploma in Building & Construction is highly regarded.
- Relevant industry experience will also be considered.
- Exceptional organisational skills with meticulous attention to detail.
- Strong written and verbal communication abilities.
- Demonstrated experience in preparing fee proposals, quotations, or client documentation.
- Capacity to manage multiple priorities and meet deadlines in a dynamic environment.
- Advanced proficiency in Microsoft Office Suite, including Word, Excel, and Outlook.
- A collaborative approach with the ability to foster strong relationships with clients and internal stakeholders.
