Tenancy Operations Coordinator

While organisation and process are central to this role, it is fundamentally a people-focused position. You will serve as the welcoming interface for ADAPT Housing, assisting prospective tenants and their support networks through one of the most significant decisions they will make.
Operating from a modern office with views of the Brisbane River, you will be in a workplace that is both aesthetically pleasing and easily accessible via public transport. You will collaborate with experienced leaders who will support you in developing expertise in Specialist Disability Accommodation (SDA). This presents an opportunity to cultivate specialist knowledge within a growing sector, while simultaneously aiding individuals with disabilities in accessing housing that demonstrably enhances their quality of life.
No two days will be the same. You will frequently be the initial point of contact for prospective tenants and their support networks, assisting them in understanding their available options and guiding them from their initial enquiry through to their relocation into their new home. You will blend strong organisational abilities with genuine warmth, ensuring each individual feels supported while every enquiry progresses. What you will do:
- Manage a high volume of enquiries, qualifying prospective tenants and guiding them through each phase of the tenancy process, from initial enquiry and Expression of Interest to property viewings, agreements, and placement.
- Host property viewings, cultivate positive relationships with participants, families, and support coordinators, and ensure a welcoming, professional experience at every interaction.
- Maintain the efficient progression of multiple matters by coordinating documentation, keeping CRM records accurate, following up on outstanding actions, and ensuring agreed timeframes are met.
- Work closely with the wider tenancy team, proactively identifying roadblocks and contributing to a smooth, efficient experience for participants and stakeholders.
- Uphold strong workflow discipline while continuously seeking opportunities to enhance processes and achieve superior service outcomes.
What you will need:
- Experience in a fast-paced administration, customer service, tenancy, property, or another coordination role where you have managed multiple competing priorities.
- A naturally warm, engaging communication style and the confidence to quickly build rapport with individuals from diverse backgrounds.
- Emotional resilience. You will regularly interact with individuals experiencing challenging circumstances and must be able to remain empathetic while upholding professional boundaries.
- A current driver's licence and access to your own reliable vehicle, as you will undertake regular property visits across Brisbane. All work-related travel will be reimbursed on a per km basis.
- Strong organisational skills, excellent attention to detail, and a genuine enjoyment of efficiently working within structured processes.
- A high level of confidence in using CRM systems and digital technology with ease to manage workflows and communication.
- Experience within the NDIS, SDA, disability, community housing, or real estate sectors would be regarded but is not essential.
