Job Summary Helios Power Solutions is seeking a dedicated Warehouse Coordinator to oversee all warehousing operations at our Rydalmere facility. This hands-on, independent role is crucial for managing inventory control, stocktaking, goods receipt, storage, and despatch. You will serve as the primary warehouse contact for local operations and will coordinate logistics with our third-party warehouse. Support will also be provided to production and other business areas as needed.
This position is ideal for a self-directed individual with a keen eye for detail, comfortable working without constant oversight within a growing small to medium-sized business. You will have full ownership of stock, space, and processes, operating within established manual systems. This is an opportunity to take charge of a critical function, enhance existing processes, and grow with the company.
Duties
- Maintain accurate inventory records through disciplined stock control, systematic data entry, and regular reconciliation.
- Design, manage, and execute cyclical stocktake processes, including establishing counting schedules, conducting counts, investigating variances, and reporting outcomes to the Supply Chain Manager.
- Manage all inbound goods receipting, including inspection against purchase orders, quantity verification, condition checks, and system entry.
- Accurately pick, pack, and despatch customer orders within required timeframes.
- Coordinate outbound and inbound freight activity with our third-party logistics (3PL) provider in Melbourne, covering stock transfers, order fulfilment queries, and shipment tracking.
- Liaise with couriers and freight providers to schedule pickups, manage delivery issues, and maintain carrier performance.
- Maintain warehouse layout, organisation, and cleanliness, ensuring stock is stored logically, labelled correctly, and easily retrievable.
- Generate and maintain all warehouse documentation, including despatch notes, goods receipt records, consignment notes, and product labelling.
- Proactively identify and communicate low stock levels on consumables, packaging, and operational supplies to the Supply Chain Manager.
- Operate a forklift safely (valid licence required) for receiving, putaway, and despatch activities.
- Provide support to production and assembly operations as required, including kitting, material preparation, and component handling.
- Assist across other areas of the business during peak periods or as directed, offering visibility and exposure beyond the warehouse floor.
- Contribute to the development and improvement of warehouse processes, particularly the transition toward more structured, system-driven ways of working.
- Ensure all activities comply with ISO 9001 quality management requirements.
- Maintain a safe working environment in accordance with WHS policies and procedures.

Skills & Qualifications
- Current forklift licence (essential).
- Minimum 5 years' warehouse or stock control experience, ideally in a manufacturing or technical environment.
- Demonstrated experience conducting and managing stocktake processes from start to finish.
- Strong verbal and written communication skills, essential for coordinating across multiple teams and external partners.
- Familiarity working with or coordinating 3PL providers on stock transfers and logistics.
- Experience working within manual or semi-manual warehouse processes; comfortable in a business that is building toward better systems.
- Basic computer literacy, including spreadsheets and email.
- ERP/WMS experience is beneficial but not essential.
- Physically fit, as the role involves regular lifting, standing, and manual handling.
- Understanding of 5S and lean warehouse principles is preferred.
- Ability to work well independently and remain productive without constant team presence.
