Project Coordinator

Hausware, a developing division of Supplyhaus, offers a comprehensive selection of stylish fittings, fixtures, and sanitaryware for kitchen, laundry, and bathroom applications in both commercial and residential projects. We manage the complete process, from manufacturing and procurement to delivery and project support, ensuring quality, reliability, and certainty for our clients.
We are seeking a Project Coordinator for a 12-month fixed-term contract to cover parental leave. This role is based at our South Brisbane office.
As Project Coordinator, you will be instrumental in managing project coordination, estimating, procurement, supplier relations, logistics, and sales pipeline support for the Hausware division. You will collaborate with a range of internal and external stakeholders to ensure projects progress seamlessly from quotation to completion.
Key Responsibilities
- Utilise IMS Fishbowl to prepare detailed quotes and cost plans for potential projects, ensuring accuracy and adherence to project specifications.
- Conduct quantity take-offs from architectural drawings and schedules to determine product requirements and support the estimating process.
- Develop detailed product specification sheets using Canva and supporting documentation to facilitate project delivery and meet client needs.
- Engage with local and international suppliers to source products, obtain quotations, confirm availability, and negotiate lead times.
- Oversee project coordination activities across multiple projects, maintaining timelines, documentation, and communication from quote to completion.
- Generate purchase orders and invoices using Fishbowl, and review pending supplier invoices.
- Collaborate closely with site teams, internal stakeholders, clients, builders, and architects to resolve issues, clarify requirements, and ensure smooth project delivery.
- Coordinate logistics with the 3PL warehouse to ensure product receipt, storage, and delivery align with business standards and project schedules.
- Work alongside our Business Development Manager to maintain and manage the sales pipeline in HubSpot and support reporting on active opportunities.
- Monitor project progress and proactively identify risks related to pricing, procurement, logistics, or delivery, implementing practical solutions as needed.
- Support the quality handover process at project completion, including the maintenance of records, warranties, and relevant documentation.
About You
We are looking for an individual who is proactive, organised, and confident, capable of managing multiple priorities effectively, fostering strong stakeholder relationships, and contributing to the ongoing success and expansion of the Hausware division.
- Previous experience in a similar role within the construction industry, specifically in project coordination, estimating, or product sales, is ideal.
- A high level of accuracy and attention to detail is required to consistently produce quality work.
- You are confident in reading and interpreting architectural drawings, schedules, and project documentation.
- Strong communication and relationship-building skills are essential for effective collaboration with internal and external stakeholders.
- You are self-motivated, organised, and capable of working autonomously while also contributing positively as part of a team.
- You are comfortable managing multiple priorities and deadlines in a fast-paced environment.
- An understanding of product requirements for product specification sheets would be highly regarded.
- Previous experience with systems such as Jobpac, Procore, and Fishbowl would be an advantage.
- A current driver's licence is required, as you will visit project sites and attend our warehouse as needed (own vehicle is not required).
