Indetail Projects is seeking an experienced Project Manager / Delivery Manager to assume responsibility for commercial fit-out projects, guiding them from award through to completion. As a Melbourne-based fit-out company specialising in high-quality hospitality, retail, and workplace projects, we undertake detailed, fast-paced work. These projects frequently involve tight schedules, live environments, and require effective management of consultants, designers, landlords, subcontractors, and clients who expect meticulous oversight.
This is a pivotal role within the organisation. We are looking for an individual who can take charge of projects post-award, drive the schedule, manage dynamic elements, and ensure all stakeholders – including the team, trades, and clients – remain consistently informed. The successful candidate will be proactive, possess commercial acumen, demonstrate strong organisational skills, and be comfortable making decisions.
About the Role
Your remit will be the day-to-day delivery of multiple commercial fit-out projects. This encompasses managing projects from the award and contract stage, thoroughly understanding the scope, schedule, drawings, trade packages, risks, and client expectations. You will then oversee the project through procurement, site works, variations, handover, and defects.
You will collaborate closely with directors, site managers, the contract administrator, estimator, subcontractors, consultants, and clients. While directors will remain engaged in key client, commercial, and risk-related matters, this role is expected to own the daily execution and maintain project momentum.
Key Responsibilities
Your role will involve:
- Reviewing awarded projects to gain a comprehensive understanding of scope, exclusions, assumptions, drawings, and the programme.
- Preparing and managing project commencement, including defining trade scopes, procurement needs, site setup, critical dates, and initial risks.
- Managing project schedules, critical path items, procurement lead times, and subcontractor availability.
- Collaborating with the Contract Administrator and Site Manager to ensure RFIs, shop drawings, variations, progress claims, and project documentation are effectively managed.
- Reviewing and approving trade scopes and purchase orders prior to issuance.
- Attending client, architect, and consultant meetings as required.
- Maintaining clear lines of communication between the client, design team, site team, and subcontractors.
- Identifying issues proactively and ensuring their resolution before they escalate.
- Managing variations, delays, scope discrepancies, and commercial risks in a practical and timely manner.
- Supporting site managers by clarifying requirements, necessary decisions, and priorities.
- Driving quality, site upkeep, safety, handover, and the close-out of defects.
- Keeping directors updated without requiring their involvement in every granular detail.
What We Are Looking For
We are seeking an individual with substantial experience in delivering commercial fit-out projects, ideally within the hospitality, retail, workplace, or similar detailed interior sectors. You should be confident in your interactions with clients, consultants, subcontractors, and internal team members. The ability to interpret drawings, comprehend scopes, manage schedules, identify missing information, and anticipate potential issues is essential.

- Be practical, organised, and commercially astute.
- Maintain focus without requiring constant direction.
Experience Required
Ideally, you will possess:
- Experience as a Project Manager, Delivery Manager, Contract Administrator transitioning into a PM role, or a comparable position within commercial fit-out or construction.
- A robust understanding of fit-out sequencing, trade coordination, and site execution.
- The capacity to read and interpret architectural drawings, services drawings, scopes, and specifications.
- Experience managing subcontractors, procurement, programmes, RFIs, variations, and progress claims.
- Strong communication skills with clients, consultants, and internal teams.
- Proficiency with computers and the ability to use project management software, Excel, Outlook, and document control platforms.
- A practical grasp of site safety, quality standards, and handover procedures.
- A trade background would be advantageous but is not essential.
